Employees

The Employees module links IT asset records to organizational personnel. Assets are assigned to specific individuals to maintain an immutable chain of custody across the lifecycle of each device. The personnel directory is located under /workspace/employees in the primary sidebar navigation.

Employee Profiles

Each employee record contains the following attributes:

  • Name: Full legal or display name (required).
  • Email: Work email address (optional, used as an identifier in audit reports and exports).
  • Job Title / Function: Text field representing organizational role (e.g., “Systems Engineer”, “Financial Analyst”). Distinct from workspace access roles (Owner, Admin, Member, Read-Only), which control software permissions.
  • Department: Organizational unit assignment. Associates the employee with departmental aggregation queries and inventory statistics.
  • Avatar: Photo asset stored in local media storage (media/{workspaceId}/) or cloud storage bucket, rendered in selection dialogues and custody lists.

The employee detail view lists all active hardware allocations, chronological assignment history (all previous equipment check-outs and check-ins), and department metadata.

Directory Management

Employees are created through the Add employee interface. In Cloud Mode, organizational employee records are functionally decoupled from workspace member accounts:

  • Workspace Members are authenticated users managed under Settings → Members (/workspace/settings/members) with platform roles.
  • Employees are catalog directory entities serving as assignment targets for hardware and software licenses. An individual may be both a workspace user and an employee, or solely a directory target.

Relational Integrity and Custody Preservation

When an employee record is deleted, Computtite preserves relational integrity:

  1. Active assignments for that individual are formally closed with a termination timestamp.
  2. Assigned hardware assets return to the unassigned state.
  3. Historical assignment logs remain intact in the SQLite database to preserve audit compliance. Historical logs reference the deleted entity ID as a former assignee.

Reports and External Export

Employee custody data feeds directly into reporting pipelines:

  • Employee Assignments Report: Tabulates all active asset holdings by person and department.
  • Directory Export: Emits structured tables in CSV, XLSX, PDF, or Markdown.
  • External Integration Sync: Transmits formatted tables directly to Google Sheets or Notion databases configured in Settings → Integrations (/workspace/settings/integrations).
